Terms & Conditions

1. SESSION TIMES

All Day - 8.00am to 5.30pm
Morning - 8.30am to 12 .30pm
Afternoon - 1.00pm to 5.00pm

N.B. Any deviation from the above times will be charged at the hourly rate or part thereof.

The Nursery School is open all year with the exception of Bank Holidays. However, the School reserves the right to close on additional days.


2. FEES - For the year 2008

Session £20.00
1-4 Full Days £40.00/day
5ams/pms £100.00/week
5 Full Days £185.00/week
Hourly Rate £5.00

  • Fees are reviewed annually on the 1st January
  • There is no charge for the Bank Holidays
  • All prices are inclusive of meals (See point 7 MENU/MEALS PROVIDED)
  • Also French, Music and Dance Lessons.
3. FEE PAYMENT

Fees are payable monthly in advance.

The preferred method of payment is by Standing Order and we will be pleased to provide the necessary information to enable you to make the necessary arrangements with your bank.

Cheques should be made payable to the "Queen of Hearts Nursery School Limited".

3.1. Monthly Payment:
Fees should be paid on the first day of each month your child attends the Nursery School.

Months are classified as 4 or 5 week periods and parents will receive an invoice at the end of a month for the following month. Any deviation from the stated sessions/times during a month will be added to the following month's invoice

3.2. Illness:
No reduction in fees can be made in the event of illness.

3.3. Holidays.

A child attending the Nursery School for a full calendar year i.e. 1st January to the 31st December will be entitled to two weeks holiday at ½ normal fees.

Children Starting:

  • A child starting Nursery School between 1st January and the 31st May will be entitled to two weeks holiday at ½ normal fees.
  • A child starting Nursery School between 1st June and the 30th September will be entitled to one week’s holiday at ½ normal fees.
  • A child starting Nursery School between 1st October and the 31st December will receive no ½ normal fees entitlement.

Children Leaving:

  • A child leaving Nursery School between 1st January and the 30th April will receive no ½ normal fees entitlement.
  • A child leaving Nursery School between 1st May and the 30th September will be entitled to one week’s holiday at ½ normal fees.
  • A child leaving Nursery School between 1st October and the 31st December will be entitled to two weeks holiday at ½ normal fees.

N.B. Any additional holiday taken will be charged at the normal fee level.


3.4 Outstanding Fees:
In the event of any account being outstanding the School reserves the right to take the following action:
(i) Pass on to the parents the cost of any bank letters indicating that a cheque has been referred.
(ii) Pass onto the parents all costs involved when the bank returns a cheque for which there are insufficient funds available.

N.B. Both incidents will be classed as non-payment of fees

(iii) Parents will only be given two weeks after the end of the month to clear any arrears after which the child may be removed from the School and their place re-allocated. If after the two week period payment has still not been received, further action will be taken to recover the indebtedness together with interest thereon and the cost of taking such action.


4. ADMINISTRATION FEE

A non-returnable Administration Fee of £50.00 is payable at the time the Enrolment Form is returned. Included in the Fee is the cost of “taster” sessions and a Queen of Hearts Nursery School tee shirt and School bag. (see point 10 SCHOOL UNIFORM)

5. CANCELLATION OF SCHOOL PLACE

In the event of a child being withdrawn after a place has been offered and accepted but before the sessions commence, the one-month NOTICE REQUIREMENT outlined in Point 6. below may be applied, depending upon the School’s ability to re-allocate the sessions without loss of income.

6. NOTICE REQUIREMENT

A one-month written notice of withdrawal is required after a child has commenced attending the Queen of Hearts Nursery School. The Nursery School may give one month’s written notice requiring the removal of a child from the School.

Where a child is removed without appropriate written notice being given to the Nursery School or where it is agreed that the child should leave immediately fees payable for the month will still be required, unless the School Directors agree to waive the outstanding monies.

7. MENU/MEALS PROVIDED

The Queen of Hearts Nursery School provides meals commensurate to a healthy diet. A mid-morning snack, hot lunch and afternoon tea is provided for all full-time children. Children attending morning sessions are given a mid-morning snack and hot lunch. Children attending afternoon sessions are given a snack on arrival. All children receive a hot or cold afternoon tea. The menu is available for inspection at all time on the School notice board.

8. ILLNESS

If a child is ill on the day they are due to attend the School, the School should be informed at the earliest opportunity in order their lunch place can be cancelled.

A child suffering from any of the following should be kept at home;

  • a rash of doubtful origin
  • discharge from the eyes or nose
  • sore throat
  • sickness and/or diarrhoea
  • a cold or flu
  • measles/rubella
  • head lice
  • any other contagious illness.

If a child requires medical treatment whilst attending the Nursery School a PUPIL MEDICINAL TREATMENT FORM (available from the School Secretary or a senior member of staff) must be completed otherwise the treatment will NOT be administered.

N.B. Only Prescribed Medicines will be administered. Under NO circumstances will Non-Prescribed medicines be given.

9. DISCIPLINE & BEHAVIOUR

The philosophy at the Queen of Hearts Nursery School is that children will flourish in an orderly environment where each person knows exactly what is expected of them.

Children learn by example what is good and acceptable behaviour and parents/carers are encouraged to work closely with the School in providing good role models.

When a child does behave in an unacceptable manner, the matter is dealt with in a careful/sensitive manner in order to ensure the child does not perceive such behaviour as a means of drawing/receiving adult attention.

However, children who do misbehave on a regular basis are given one to one adult support as a means of working towards an improved pattern of behaviour.

Physical punishment is never used at the Queen of Hearts Nursery School.

10. SCHOOL UNIFORM

Winter:
Red/navy track suit (boys and girls)
Navy skirt or pinafore with a school sweatshirt
School tee shirt or a white polo shirt

Summer:
School tee shirt
Red/navy shorts/skirt

Tee shirts and tracksuits are available from the School Office.

N.B. Tracksuits are recommended in place of more fashionable clothing for reasons of safety and to assist staff when toileting children. It is also felt that a uniform helps the children to achieve a greater sense of belonging.

All clothing must be clearly marked with the child’s name and every child be provided with a spare set of clothing which should be kept in a bag clearly labelled.

11. HYGIENE

Each child brushes their teeth after lunch and parents are required to provide their child with a toothbrush and plastic mug, clearly marked with the child’s name.


12. SECURITY

Security is of paramount importance in order to ensure the safety of children whilst attending the Queen of Hearts Nursery School. Parents are therefore required to comply with all security measures adopted by the School.

13. SMOKING

The Queen of Hearts Nursery School operates a NO SMOKING policy and all parents and staff are required to comply with this policy whilst on the School premises.

14. PERSONAL EFFECTS

Children should not bring toys, jewellery, money or other valuables to the Nursery as the School cannot accept responsibility for these. However, comfort toys/items are allowed.

No chocolate, sweets or other type of snack food are to be brought into School.

15. WAITING LIST

Whenever possible places will be allocated in chronological order. However, there may be occasions when, because the School is unable to offer the sessions requested by parents, the available sessions will be offered to parents further down the waiting list.

16. COMPLAINTS PROCEDURE

Parents wishing to make a complaint against an individual member of staff or a School procedure may, depending upon the severity of their complaint, adopt one of the following options:

a). Discuss the matter informally with a director or senior member of staff
or b). Put the matter in writing addressing their letter to the Company Secretary

16(a). INFORMAL COMPLAINTS PROCEDURE

Complaints will be discussed in a private and confidential manner where it is hoped that, in most instances, the matter can be resolved in a speedy and satisfactory manner. Should it become necessary to involve another member(s) of staff it will become a matter of discretion as to whether or not the parents are present at this time.

Any subsequent comment/feedback will be made to the parents in a similar informal but confidential manner.

Informal complaints and any corrective action agreed will be recorded in the COMPLAINTS RECORD BOOK stored in a confidential place in the office.

16(b). FORMAL COMPLAINTS PROCEDURE

A formal complaint received in writing will initially be investigated be the Company Secretary.

This may involve:
  (i) Interviewing the parent(s)
  (ii) Interviewing the member(s) of staff involved
  (iii) Reviewing a particular procedure

Within 7 (seven) days of receiving the complaint the Company Secretary will report back to the parents the initial findings of the investigation and if necessary, indicate any further investigation to be undertaken.

Once a final decision has been made as to required and agreed corrective action the parent(s) and staff will be informed in writing. The action to be taken may involve the STAFF DISCIPLINE PROCEDURE. At all times, the matter will be treated with the utmost confidence.
